Updating Club Officers
How club secretaries update the officer list in DACdb each Rotary year.
Why this matters
At the start of each Rotary year (1 July), clubs elect new officers. DACdb needs to reflect the current office holders so the district knows who to contact for each role: president, secretary, treasurer, and so on.
Keeping this list current is the responsibility of the outgoing or incoming club secretary.
How to update club officers
Who can do this? Only the club secretary (or a club admin) has permission to update officer records in DACdb. If you are not the secretary, pass this guide on to them.
- Log in to DACdb with your secretary or admin credentials.
- Navigate to your Club page.
- Click on the Officers or Club Officers tab.
- You will see the current list of officer positions and who holds each one.
- To change an officer, click Edit next to the position.
- Select the new officer from the club's member list using the dropdown or search field.
- Set the start date (usually 1 July) and end date (usually 30 June of the following year).
- Click Save.
- Repeat for each position that has changed.
Common officer positions to update

| President | The incoming president for the new Rotary year. |
| Secretary | If the secretary role is changing, the outgoing secretary should update this before handing over. |
| Treasurer | Update even if the same person continues in the role, to confirm the dates. |
| President-Elect | The person who will serve as president the following year. |
| Immediate Past President | The outgoing president automatically moves into this role. |
When to update
- Before 1 July: Ideally, update the incoming officers in DACdb before the new Rotary year begins so the district has current contact details from day one.
- Mid-year changes: If an officer resigns or changes role during the year, update DACdb as soon as the change takes effect.
Do not delete outgoing officers. When changing officers, update the position to the new person rather than deleting the old entry. DACdb keeps a history of who held each role and when.
