What is the Compliance Register?
Youth protection records used to be spread across several systems, district files and individual personal computers, with no single place anyone could check before signing off a youth event. The Youth Protection Compliance Register is that single place: a district-wide record of who holds a current Working with Children Check (WWCC), so events can be organised with confidence.
It is still being reconciled against older systems and records. An empty result for someone is not proof that they hold no clearance: it may simply not have been entered yet.
Who should use this form
Any Rotarian or volunteer in District 9660 who holds a current NSW Working with Children Check. Use it to:
- Add your WWCC to the register for the first time.
- Update the details already held for you.
- Renew your WWCC details after the Office of the Childrens Guardian issues you a new clearance.
The form is public. There is no login and no account needed.
Before you start
Have your WWCC clearance letter from the Office of the Childrens Guardian to hand. You will need:
- Your WWCC number (it looks like WWC1234567E) and its expiry date. Both are required.
- Your first name and surname. Also required.
The following are optional but helpful, because they are what let the system match your submission to an existing record instead of creating a duplicate:
- Date of birth
- Email address
- Phone number
- Rotary club
If your WWCC has expired, the form will not accept it. Renew with the Office of the Childrens Guardian first, then come back and submit your new details.
Filling in the form
Go to support.rotary9660.org.au/wwcc-submit.
- Enter your first name and surname.
- Enter your WWCC number and its expiry date.
- If you have them handy, add your date of birth, email, phone number and Rotary club. These are not required, but they help the system find and update your existing record instead of creating a second one.
- Click Submit.
What happens after submitting
- Your record is added to the register with a status of Pending.
- The District Youth Protection Officer checks your WWCC number against the Office of the Childrens Guardian employer portal.
- Once verified, your status is changed to Cleared.
- You are emailed a copy of what you submitted.
There is no login and no link to keep. If you need to correct anything, or renew later, just fill in the form again: the system matches you to your existing record.
What Pending means
Pending means your details have been submitted but not yet verified. It is not confirmation that you hold a valid WWCC. Your status only becomes Cleared once the District Youth Protection Officer has checked your number against the Office of the Childrens Guardian employer portal.
Updating or renewing
There is no account to sign in to and no link emailed to you for later use. To correct a detail or to renew after your WWCC is reissued, simply fill in the form again with your current details. The system matches you to your existing record using the details you provide, so you do not need to contact anyone to make a change.
Renewing early? Read this
If you already hold a current, verified (Cleared) WWCC on the register and you submit an early renewal, your record will show as Pending again until the Youth Protection Officer verifies the new details.
During this window you will appear unverified even though your existing clearance is still valid. This is expected: it simply means your renewal has not been checked yet. If you need it prioritised before a youth event, contact youthprotection@rotary9660.org.au.
