Forwarding Your Old Gmail
Auto-forward email from a Gmail address you used for your Rotary role into your new district inbox.
Why set up forwarding?
Many committees previously used Gmail addresses for their roles. People, schools, clubs and families still have those old addresses saved, and will keep emailing them for some time. Forwarding means anything sent to the old Gmail address lands automatically in your new district inbox, so nothing is missed while everyone updates their address books.
This is a one-time, five-minute setup done inside Gmail.
yeo.group1@rotary9660.org.au. That way the mail follows the role, not the person, when the role changes hands.
Step 1: Add the forwarding address in Gmail
- Sign in to the old Gmail account in a browser at mail.google.com.
- Click the Settings gear icon in the top-right corner, then See all settings.
- Open the Forwarding and POP/IMAP tab.
- Click Add a forwarding address.
- Enter your district address (your role's shared inbox, e.g.
yeo.group1@rotary9660.org.au, or your ownfirstname.lastname@rotary9660.org.auif the Gmail was personal to you) and click Next, then Proceed.
Step 2: Confirm with the code sent to Outlook
- Gmail sends a confirmation email to your district inbox. Open Outlook and find the message from Gmail (check the shared inbox if you forwarded to one).
- It contains a confirmation code. Copy it.
- Back in Gmail's Forwarding and POP/IMAP tab, paste the code into the verification box and click Verify.
Step 3: Turn forwarding on and archive Gmail's copy
- Still on the Forwarding and POP/IMAP tab, select Forward a copy of incoming mail to and make sure your district address is chosen.
- In the dropdown next to it, choose archive Gmail's copy.
- Scroll down and click Save Changes.
Why "archive Gmail's copy"? It keeps a backup of every forwarded message in Gmail (under All Mail) without them piling up unread in the old inbox. You get a safety net, and the old account stays tidy.
Check it works
Send a test email from another account (or ask a fellow member to) addressed to the old Gmail address. It should arrive in your district inbox within a minute or two. If it does not, re-check the Forwarding and POP/IMAP tab: forwarding must show as on, with the district address verified.
