Calendar — Scheduling
Creating events, inviting people, and scheduling Teams meetings.
Opening the calendar
Select your device:
- Go to outlook.office.com/calendar in your browser.
- Sign in with your Rotary email address if prompted.
You can also reach the calendar from office.com — click the calendar icon in the left rail, or click the Outlook tile and then the calendar icon inside Outlook.
- Open the Outlook app on your iPhone or iPad.
- Tap the Calendar icon at the bottom of the screen.
- Open the Outlook app on your Android phone.
- Tap the Calendar icon at the bottom.
Calendar views
You can view your calendar by day, week, or month. On the desktop browser, use the view selector in the top-right of the calendar. On mobile, swipe left or right to move between days or weeks.
- Day view: see all events for a single day in detail
- Work week: Monday to Friday at a glance
- Month: an overview of the whole month
Creating a new event
Select your device:
- Click New event in the top-left corner, or click directly on the calendar at the time you want.
- Add a title.
- Set the date and time.
- Add a location if needed (or a Teams link — see below).
- Add a description if you want.
- Click Save.
- In the Outlook app, tap the Calendar tab.
- Tap the + button in the top-right corner.
- Add a title, date, and time.
- Tap Done to save.
- In the Outlook app, tap Calendar.
- Tap the + button.
- Fill in the title, date, and time.
- Tap the tick to save.
Inviting people to a meeting
Select your device:
- When creating or editing an event, click in the Invite attendees field.
- Type the person's name or email address. Select them from the suggestions.
- Add as many attendees as you need.
- Click Send to send the invitation. They will receive an email invite they can accept or decline.
Checking availability: After adding attendees, click the Scheduling assistant tab. This shows a grid of each person's free and busy times so you can find a time that works for everyone. This feature is much easier to use on desktop than on mobile.
- When creating an event, tap the People or Invite field.
- Type the person's name or email address and select them.
- Tap Done and then Send.
Checking free/busy times is easier on desktop — the scheduling assistant is limited on the mobile app.
Scheduling a Teams meeting from Calendar
Select your device:
- Click New event.
- Fill in the title, date, time, and attendees.
- Toggle Teams meeting on. You will see it labelled "Teams meeting" or there may be a toggle switch in the event form.
- A Teams link will be added to the event automatically.
- Click Send.
- Create a new event in the Outlook app.
- Look for the Teams meeting toggle and turn it on.
- Add your title, date, time, and attendees.
- Tap Done and then Send.
Accepting or declining a meeting invitation
Select your device:
When you receive a meeting invitation by email:
- Open the invitation email in Outlook.
- Click Accept, Tentative, or Decline.
- Choose whether to send a response or not.
- If you accept, the event is automatically added to your calendar.
- Open the invitation email in the Outlook app.
- Tap Accept, Maybe, or Decline.
- The event is added to your calendar if you accept.
Viewing other people's calendars
If someone has shared their calendar with you, you can view it alongside your own on the desktop browser:
- In Outlook on the web, click Add calendar in the left panel.
- Click Add from directory.
- Type the person's name and select them.
- Their calendar will appear alongside yours.
