Joining, running, and hosting video meetings with Teams.
Joining a meeting
You can join a Teams meeting from a calendar invite or from a link sent in a chat or email.
Select your device:
From a calendar invite:
- Go to outlook.office.com/calendar and find the meeting.
- Click on the event. You will see a "Join Microsoft Teams Meeting" link.
- Click the link. Your browser will open a Teams page.
- Choose "Join on the web" if you do not have the app installed.
- Choose your audio and video settings, then click Join now.
From a link in email or chat:
- Click the meeting link. It will open in your browser.
- Select Join on the web and then click Join now.
From the Teams calendar:
- Open the Teams desktop app.
- Click the Calendar icon in the left sidebar.
- Find the meeting and click Join.
- Choose your audio and video settings, then click Join now.
From a link:
- Click the meeting link. Teams will open and take you to the join screen.
- Click Join now.
From the Outlook calendar:
- Open the Outlook app and tap the Calendar tab at the bottom.
- Tap the meeting event.
- Tap Join Teams Meeting.
- The Teams app will open (or offer to open). Tap Join.
From a link in email or message:
- Tap the meeting link. Choose to open it in Teams.
- Tap Join now.
From the Outlook calendar:
- Open the Outlook app and tap Calendar.
- Tap the meeting event.
- Tap Join Teams Meeting. Teams will open.
- Tap Join now.
In-meeting controls
During a meeting, a toolbar appears with controls for your audio and video. The exact location varies by platform but the same actions are always available:
- Mute / Unmute () — toggle your microphone on and off. Mute when you are not speaking.
- Camera on / off () — toggle your camera.
- Raise hand — lets the host know you want to speak without interrupting.
- Chat panel () — send messages or links to all participants during the meeting.
- Leave () — leave the meeting. On a red button, usually at the end of the controls bar.
Hosting a meeting
Select your device:
- Go to outlook.office.com/calendar.
- Click New event.
- Add a title, date, and time.
- Toggle Teams meeting on. A Teams link will be added to the invite automatically.
- Add attendees in the Invite attendees field.
- Click Send.
Sharing your screen during a meeting:
- Once in the meeting, click the share screen icon (a rectangle with an arrow) in the controls bar.
- Choose whether to share your whole screen, a specific window, or a browser tab.
- Click Stop sharing when done.
- Open the Teams desktop app and click Calendar.
- Click New meeting.
- Fill in the title, date, time, and attendees.
- Click Send. A Teams link is included automatically.
Sharing your screen: Click the share icon in the in-meeting toolbar. Choose a window or screen. Click Stop presenting when done.
- Open the Outlook app and tap the Calendar tab.
- Tap the + button to create a new event.
- Add title, date, and time.
- Toggle Teams Meeting on.
- Add attendees and tap Done.
Screen sharing on iPhone: Tap the ... (more) button in the meeting controls, then tap Share. You will be prompted to start a screen broadcast.
- Open the Outlook app and tap the Calendar tab.
- Tap + to create a new event.
- Add title, date, time, and toggle Teams Meeting on.
- Add attendees and tap Send.
Screen sharing on Android: Tap the ... button in the meeting controls and select Share.
Finding a recording after a meeting
If the host recorded the meeting, the recording is saved automatically. You can find it in the chat or channel where the meeting was held.
- For a channel meeting: go to the channel in Teams and scroll up to find the meeting chat. The recording link appears there.
- For a one-on-one or group meeting: go to the Chat tab in Teams and open the conversation for that meeting.
Recordings are stored in OneDrive or SharePoint and are available for a period set by the IT team.
